Case Study - Shakespeares

Shakespeare Putman's 'eyes' graphicShakespeares, one of the leading law firms in the Midlands, had very precise requirements when they briefed the print and document management consultants at Complete.

With over 150 fee earners and a turnover of over £18 million, the partners needed a fully managed print solution, so that: all costs could be tracked and recovered; all service and consumables management would shift away from busy staff and become the responsibility of the supplier; and the overall cost of the improved service would be less than the existing printer set-up.

Complete's design team produced a scheme that dispensed with the local and desktop printers and introduced 29 MFDs (multi-functional devices – print, copy, scan, fax and e-mail) positioned around the company’s offices for the production of all in-house printing. The use of Equitrac cost recovery software, installed across the network, ensures that printing costs are recognised on a case number basis and charged to the client as part of their fee.

During the course of the year, the firm produces a total of 6.2 million pages (94% mono and 6% colour), with a ‘client work’ split of approximately 80% (4.96 million pages). Using the new system all of the prints and costs can now be tracked and recovered.

Complete Service
The location of their offices in the heart of Birmingham made it difficult for mobile engineers to service the account effectively, so Complete Imaging were happy to add the firm to their list of clients in central Birmingham who are handled by their team of ‘walking’ engineers.

Combined with Complete's unique Pre-emptive Maintenance Programme, that addresses potential problems before they happen, and remote network management software, that allows Complete Imaging to monitor the performance of the network from afar, the new network of MFDs delivers consistent, high quality printing with minimal downtime.

Final word to Ian Smit at Shakespeare Putsman LLP: ‘‘The new system has delivered the in-house print services that we need to do our work effectively, and easy-to-use software that allows us to recover a large proportion of our printing and copying costs’’.
